A DOT audit does not have to become a crisis if the carrier is already organized. The audit usually exposes the same basic problems: missing records, unclear processes, or a weak safety culture.

Preparation starts with documentation. Carriers should review driver files, maintenance records, drug and alcohol testing records, insurance, registration, and ELD compliance before anyone from the agency asks for them. If the company cannot explain a process internally, it will be harder to explain it during an audit.

The next step is to look for patterns. Repeated logging errors, missed inspections, or late medical renewals often point to a workflow problem rather than a single mistake. Fixing the workflow matters more than correcting one form.

It also helps to assign ownership. Someone should know who maintains the files, who checks the logs, and who responds to compliance issues. An audit is easier when the carrier already knows where the paperwork lives and who is responsible for each task.
